Gym management software, built around exactly how you run

Memberships, the door, renewals, bookings and invoicing — one system tailored to exactly how your gym runs, that you download as a complete Laravel app you own outright, and that AI keeps up to date for you.

Here's how it works. Tell us how your gym runs, and we build you a complete system for it — memberships, the door, renewals, bookings, invoicing and member email, configured to your exact rules. The building blocks are already built and tested, so your system is shaped around your club in days, not a six-month bespoke project. And here's what makes it unlike anything else:

You own it. The system is yours — it exports as standard code you can take anywhere, and your member data lives in your database, not a vendor's. No per-member pricing, no subscription that holds your gym hostage, no losing everything if you leave. Download and self-host it whenever you want.

AI manages it. When something needs to change — a new membership tier, a different chase-up window, a report you wish you had — you describe it in plain English and the AI makes the change. No support tickets, no waiting on someone else's roadmap, no developer day-rates for a ten-minute tweak.

We stand behind it. Getting it live is part of the build — we set up basic hosting on your own account, where you pay the provider directly and we never mark up the infrastructure. After that, owning it works like owning a car: when you want work done — a change, a new feature, an integration, help with your server — you ask us and pay for the job, quoted before we start. No monthly fee, no contract. And if we ever find a defect in the modules your app is built from, we fix it centrally and ship the fix to every affected system free of charge — our modules are shared across all the systems we build, so a fix for one is a fix for all. Because we built it, we already know the codebase, so every job is faster and safer. And you're never tied to us: the code is yours, built on open source, and any suitably qualified Laravel developer can take it on. More on how maintenance works →

What's already built

Every one of these is a finished module — not a line on a roadmap. Each is already running in production with real gym data, and each ships with its own automated test suite that proves the rules actually hold: that a lapsed member can't walk through the door, that paying early adds a month to the end instead of losing it, that a court can't be booked twice for the same slot. You're getting software that's been proven, then tailored to your club — not a prototype we start writing after you've paid.

The job What it does What you tell us
Memberships Sign-up with your membership tiers, and monthly payments that extend cover from the right date — pay early and the month is added to the end, never lost; a lapsed member who pays is active again automatically Your membership types and what each costs a month
The door Check-in at the front desk: paid-up members walk through, cancelled or unpaid members are refused with the reason on screen — and every attempt, allowed or refused, is recorded Nothing extra — it works from your memberships
Renewals & chasing A live list of who owes you: new joiners who never paid and members about to expire, each with the fee due — ready for a mail merge How far ahead you chase renewals
Courts & classes Bookings for squash courts, studios and classes with clash detection — no double-booked slots, ever Your facilities, your slots, your prices
Invoicing & debtors Unbilled court bookings become invoices in one action, plus batch runs, payments, a live debtors list and per-customer statements Your payment terms and invoice details
Member email A welcome email the moment someone joins, reminders and letters through your own email provider, with every send logged Your wording and your sender address

The front desk gets one screen with the day at a glance: footfall (visits and refusals), renewals due, and the full member roster with each person's status. And there's more on the shelf when you need it: a waitlist for the class that always fills, member surveys to catch problems before people quit, and an audit trail that records every enrolment, payment and cancellation across the lot.

It already works together

These aren't six separate products with six logins. The door reads your memberships. A member who turns up unpaid isn't just refused — they're automatically marked lapsed and appear on your renewals list, so nobody has to notice and nobody slips through unchased. In our live demo data that exact flow has already happened: a member arrived with an expired membership, was refused at the door with the reason on screen, and was sitting on the chase-up list before the front desk had looked up. One payment later, she's active again.

It's your system to plug into

Every module comes with two ways in: a screen your staff use, and an API. An API is simply a doorway into your system that other software is allowed to use, with no person retyping anything. It's why the same membership and booking engine behind your front-desk screen can sit behind the join form and class timetable on your public website — a member signs up or books a court online and it lands straight in the same system, live. That same doorway lets a member app, a spreadsheet, or the AI itself read and update memberships, with access controlled the way you decide.

That's why it's built this way. A gym system that's only a screen is a walled box: the day you want online joining, a member app, or a link to some tool that doesn't exist yet, you're back to a vendor with a feature request. Because every module is driven through its API, your system is open from day one — your website, your app and your future tools all plug into the same system you already own, no rebuild required.

Tell us how your gym runs

Tell us how your gym runs using this form and we assemble your system, run the tests, and hand it over as a complete, working Laravel application you own. When it needs work later, ask us and pay for the job — defects in our own modules are always fixed free — or take it and self-host: it's your code either way.

Your system is built on Laravel — the world's most popular PHP framework, used by companies like Currys, MKM, Apple, Nike, NASA and Pfizer.

Not quite your business? Tell us what you need and we'll say whether we can build it.
